What are the main duties of a conference hostess for events and fairs?

Hostesses and stewards are essential figures for the successful execution of any event, be it a congress or a fair.

Their main responsibilities (which can vary from event to event) are defined during the initial briefing with the company, where all necessary information is provided to effectively perform their roles.

Typically, these duties include:

  • Assisting in the setup of booths, rooms, or venues where the event will take place, arranging flyers, promotional materials, and other informative resources.
  • Welcoming and assisting participants upon their arrival, and if requested, registering their details.
  • Distributing materials, providing the program (if available), and answering questions comprehensively.
  • Being available throughout the event to provide any kind of assistance.
  • Collaborating on closing activities, such as completing participation certificates or administering feedback questionnaires.

What is an ECM hostess and what do they do?

ECM stands for Continuing Medical Education and refers to conferences organized by scientific societies or pharmaceutical companies aimed at doctors, pharmacists, and healthcare professionals to create a continuous flow of training. The functions of an ECM hostess are very similar to those of an event hostess, with some additional responsibilities.

These include:

  • Coordinating with organizers regarding schedules and managing coffee breaks and lunch breaks if applicable.
  • Setting up the room with informational materials, notepads, gadgets, and water.
  • Personally meeting the speakers to arrange name cards (with the speakers’ names) and assisting them with microphones.
  • Assisting at the welcome desk, filling out registers, and distributing event evaluation forms.
  • Accompanying participants to refreshment areas and providing information.
  • Drafting and issuing participation certificates for credit assignment to doctors.
  • Collecting evaluation forms and gathering signatures upon exit.

What does it mean to work as a hostess?

Hostesses and stewards become part of a company during events, which is why appearance must be well-maintained, and often formal uniforms are required as agreed upon with the event organizers.

The duties require flexibility, with evening or holiday availability often being requested.
A friendly personality and the ability to work closely with the public are essential; this includes patience, courtesy, and excellent communication and interpersonal skills.

Our hostesses and stewards also work in English, which means they can welcome foreign delegates at airports and adequately assist international guests during the event.
